Privacy policy
Last updated October 21, 2026
This policy covers followsystems.com (“the site”) and the information we collect when you visit it, download the checklist, book a call, text us, talk to us or become a client. It’s about information we collect for ourselves. When we handle your customers’ information on your behalf as a client, our Data processing agreement applies instead.
FollowSystems LLC, a Wyoming limited liability company, 30 N Gould St, Sheridan WY 82801 (“FollowSystems”, “we”, “us”), is the controller of the information described here. Questions about your information go to support@followsystems.com.
In short
- We collect your email, industry and a record of where you signed up. If you book a call, we collect your booking details. If you become a client, we collect your business and billing details.
- We use it to send your checklist, hold your call, send marketing emails and texts you can opt out of, run our service, and measure our ads.
- We share it with the providers listed below. We share limited details with Meta and Google so they can measure our ads. We don’t sell your information for money.
- You can unsubscribe, ask to see or delete your information, or opt out of ad measurement at any time.
1. What we collect
When you ask for the free checklist, we collect your email address and your industry. If you choose “Other”, we also keep the industry you type in. We also record the IP address and browser you signed up from, and the page you signed up on, as a record of your sign-up.
When you book a call, the booking form asks for your name, email address and anything you choose to tell us about your business. Bookings run through Cal.com. We also copy the booking details (the time of the call, whether it went ahead, and your reschedule and cancel links) into our email system so we can send you the right follow-ups.
When you sign up for texts, we collect your mobile number, the time you agreed and the page or form you agreed on, as a record of your consent. See section 7.
When you become a client, we collect your name, business name, contact details, billing details, the content and instructions you give us, and the details of your account and how you use the service. Card details go straight to Stripe. We don’t store full card numbers.
When you browse the site, our hosting provider records technical details such as your IP address, browser and the pages you request. We and our advertising and analytics providers also use cookies and similar tools to record the pages you visit, how you got here and what you do on the site. See section 6.
When you use our forms, a spam check from Cloudflare (Turnstile) looks at your browser and connection to tell people from bots. It runs in the background and doesn’t ask you to do anything unless it needs to.
When you email, text or talk to us, we keep the message and our reply. We also record some calls. See section 8.
What we don’t collect. We don’t knowingly collect precise location, biometric, health or genetic information, or information from children. Please don’t send us any of these.
2. Where we get it
- From you, when you fill in a form, book a call, text or email us, or sign up.
- From your browser and device, through cookies and the technical details your browser sends.
- From our providers, such as Cal.com (your booking details), Stripe (payment status), and Meta and Google (whether you arrived from an ad).
- From public sources, such as your business website or directory listing, when we prepare for a call with you.
3. How we use it
- To send you the checklist you asked for, and to run, bill and support the service if you’re a client.
- To send you our marketing emails and, if you’ve agreed, texts. Every email has an unsubscribe link and every text can be stopped by replying STOP.
- To hold the call you booked and follow up afterwards.
- To measure which pages and ads bring people to the site, to build audiences for our ads, and to improve the site and service.
- To block spam, prevent fraud and keep the site and service running and secure.
- To train our team and check the quality of our calls.
- To follow the law, enforce our terms and handle disputes.
4. Who we share it with
We use these providers to run the site and the business. Each one handles your information only to provide its service to us, apart from Meta and Google, which also use some of it under their own policies.
| Provider | What it does | What it receives |
|---|---|---|
| Klaviyo | Sends our emails and texts and stores our contact list | Email address, mobile number and consent record, industry, the IP address and browser you signed up from, your call booking details, which messages you open and click, pages you view on our site |
| Cal.com | Books calls | The details you enter when booking |
| Cloudflare | Hosts the website and runs the spam check on our forms | Technical details of each visit, including IP address and browser |
| Amazon Web Services | Hosts our systems and stores our data | Information stored in our systems |
| Amazon SES and Resend | Send our transactional and service emails | Email address and the content of the email |
| Twilio | Sends and receives our texts and calls | Mobile number, message content, call details |
| Stripe | Takes payment | Name, billing details, payment method and amount |
| Meta (Facebook and Instagram) | Measures how well our ads work and builds ad audiences | Pages you visit, and, when you sign up or book, your email address (scrambled before it’s sent), IP address, browser and the ad-click and browser IDs from the cookies below |
| Google (Analytics and Ads) | Measures how people use our site and how well our ads work | Pages you visit, device and browser details, cookie IDs, and how you arrived |
We may also share information with professional advisers such as lawyers, accountants and insurers, with a buyer or investor if the business is sold or restructured, and with authorities when the law requires it or to protect our rights. We make providers sign contracts that limit what they can do with your information.
5. Selling and sharing
We don’t sell your personal information for money. We do share a limited set of details with Meta and Google so they can match visits, sign-ups and bookings to our ads. In some places the law calls that “sharing” for cross-context behavioural advertising, or a “sale”. You can opt out at any time through the “Cookie settings” link in the footer (visitors in the EU and UK), by sending Global Privacy Control, by emailing support@followsystems.com, or by blocking cookies in your browser. We respond to Global Privacy Control signals as an opt-out of this sharing (see section 6).
We don’t share mobile numbers or text consent with anyone for marketing or promotional purposes, other than the providers that deliver our messages.
6. Cookies and similar tools
We use cookies, pixels and similar tools on the site:
- Necessary: to run the site, keep forms working, block spam and remember your cookie choice (for example Cloudflare, Cal.com on the booking page, and our own
fs_consentcookie, kept for 180 days). These are always on. - Analytics: Google Analytics, to understand how the site is used. It sets cookies such as
_gaand_ga_*, which last up to 2 years. - Marketing: the Meta Pixel and Google Ads tags, two cookies of our own (
_fbpand_fbc) that record the ad you clicked and a random browser ID for up to 90 days, and Klaviyo (__kla_id), which recognises you between visits and connects our emails to your visits. These are used to measure our ads and emails and are sent to Meta when you sign up or book.
If you are in the EU, the EEA or the UK, analytics and marketing tools stay off until you agree. A banner asks you on your first visit, with Accept all, Reject all and Customise buttons that look the same. You can change your mind at any time with the “Cookie settings” link in the footer. If you withdraw consent, we delete the cookies and reload the page. We keep a record of your choice (the date, your country and what you chose, with a random ID, but not your name, email or IP address) so that we can show it if asked. If we can’t tell where you are, we ask you too.
Everywhere else, analytics runs by default and you can block cookies in your browser at any time. We honour Global Privacy Control: if your browser sends it, marketing tools stay off and we don’t send your details to Meta.
You can also block or delete cookies in your browser settings. The site still works without them.
7. Text messages
We text you only if you’ve agreed to it. We send two kinds of text, and they have their own consent. See our SMS terms for the details, including message types, how often we text, and how to stop.
Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help. Agreeing to receive texts isn’t a condition of buying anything. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
8. Call recording
We record sales, onboarding and support calls to check quality, train our team, keep records and settle disputes. We tell you before the call starts. If you’d rather not be recorded, say so at the start and we’ll note it. We keep recordings for as long as we need them for those purposes, and we don’t delete them on a fixed schedule. You can ask us to delete one, as section 11 explains.
9. How long we keep it
| What | How long |
|---|---|
| Email address and industry | Until you unsubscribe or ask us to delete them |
| Mobile number and text consent record | Until you opt out and ask us to delete it, plus the time the law says we should keep proof of consent |
| Booking details | 2 years after the call |
| Client account and billing records | 7 years after the account ends, to meet tax and accounting rules |
| Call recordings | As long as we need them for the purposes in section 8, until you ask us to delete them |
| Technical logs | We don’t control this. Our hosting provider keeps them for a short time. |
| Ad cookies | Up to 90 days |
We may keep information longer where the law requires it, or to deal with a dispute.
10. Keeping it safe
We protect your information with encryption in transit (HTTPS), encrypted backups, two-factor sign-in on our accounts, limited and logged access, protected storage for secrets, and checks on the providers we use. No system is perfectly secure, so we can’t promise that nothing will ever go wrong. If a breach affects your information, we’ll tell you as the law requires.
11. Your choices and rights
- Stop our emails with the unsubscribe link in any email.
- Stop our texts by replying STOP to any text.
- Stop the ad measurement with the “Cookie settings” link in the footer (EU and UK), by sending Global Privacy Control, or by emailing us.
- See, correct or delete your information, or ask for a copy, by emailing support@followsystems.com.
- Other rights. Depending on where you live, you may also be able to object to or limit how we use your information, move it to another service, opt out of sharing, ask us not to use sensitive information, and appeal our decision.
- No penalty. We won’t treat you worse for using these rights.
How to ask. Email us. We’ll confirm we’ve got your request within 10 business days and reply within 45 days, or tell you if we need more time. We may ask you for details that match what we already hold, to check it’s you. You can ask someone to act for you if they give us your written permission. If we turn down your request, you can appeal by replying with the subject “Appeal”. If you’re still not happy, you can complain to your data protection authority or state attorney general.
12. State and regional notes
- California. In the last 12 months we have collected identifiers (name, email address, mobile number, IP address), commercial information (bookings and purchases), internet activity (pages visited, cookie IDs), audio recordings (calls), professional information (your business) and inferences, from the sources in section 2, for the purposes in section 3. We shared identifiers and internet activity with Meta and Google, as described in section 5, and disclosed information to the providers in section 4 for business purposes. We don’t sell or share the information of anyone we know is under 16. You have the rights in section 11, including to know, delete, correct and opt out of sharing, and to limit the use of sensitive information (we don’t use it beyond what the law allows).
- Other US states. Residents of states with privacy laws, such as Colorado, Connecticut, Oregon, Texas and Virginia, have similar rights, including to opt out of targeted advertising and to appeal. Use the contact details above.
- European Economic Area, United Kingdom and Switzerland. We process your information on these legal bases: your consent (marketing emails and texts, and advertising and analytics cookies); our contract with you (bookings, accounts and billing); our legitimate interests (running, securing and improving the site and service, and measuring our business, balanced against your rights); and legal obligations. You have the rights in section 11, and you can withdraw consent at any time. You can complain to your local data protection authority. [If you are required to appoint an EU or UK representative, give their details here.]
- Canada. We handle personal information in line with Canadian privacy law, including PIPEDA. You can ask us to see or correct your information using the contact details above.
- Australia. We handle personal information in line with the Australian Privacy Principles. You can ask us to see or correct your information, and you can complain to us and then to the Office of the Australian Information Commissioner.
13. Information sent abroad
We and our providers are based mainly in the United States, so your information is processed there. If you’re in the EEA, the UK or Switzerland, we rely on the European Commission’s standard contractual clauses, the UK addendum, or another lawful transfer mechanism for sending your information to the United States. You can ask us for a copy.
14. Children
The site and service are for business owners. They aren’t meant for anyone under 16 and we don’t knowingly collect their information. If you think a child has given us information, email us and we’ll delete it.
15. Our clients’ customers
When a business signs up for FollowSystems, we handle their customers’ details (for example, the phone number of someone whose call was missed) to provide the service. We act as the business’s service provider under our Data processing agreement, and the business is responsible for those details. If your information was collected by one of our clients, please contact that business about it. If you contact us, we may pass your request to them.
16. Links to other sites
The site may link to other sites. This policy doesn’t cover them.
17. Changes
If we change this policy in a way that matters, we’ll update it here, change the date at the top, and email you if the change is significant. We’ll review it at least once a year.
